Main telephone line receiving voice messages and distribution to appropriate department or employee
Office and facilities services including ordering and receiving of coffee supplies stationary supplies and inventory management
Courier Mail Packages responsible for incoming outgoing and distribution to required stakeholders
Managing access card inventory in line with reporting requirements Physical handover of access and ID cards to new joiners and collection of cards back from employees who resignrelocate
Helping new hires and international employees with officeworkstation set up office orientation health and safety protocols access cards
Coordinate and assist with internal external employees and client events as per budget provisions such as Townhalls Christmas Party food events for staff and clients etc
Food ordering for Internal or External Meeting Support food orders client visits special assistance as requested for LTM Executive visits
Assist with booking meeting rooms resources for clients or internal meetings and events
Supervise and maintain other office services and facilities such as replacing batteries in touchless faucets office desks when required ensure property management replace paper towels in washroom and kitchen dispensers as needed
Monitor and respond to Facilities emails for facility issues
Create service requests for with Property Management for office cleaning heating cooling lighting washroom hand soap etc
Oversee Security Operations for the site
Other general office admin support as may be requested required
Coordinate for senior executive visits to office
Guidance to employees about local amenities
Receive cheques and courier to bank as required
Preparing the annual budgets for Admin Making sure the actual cost does not exceed the budget provided
Coordinating for various audits conducted for Mexico operations
Fluency in Spanish
