Senior Specialist – Workday (Expenses & Payroll)

 

Experience

  • Minimum 10 years of hands-on experience working with Workday, with strong expertise in Expenses, Payroll, Integrations, and Business Processes.

Key Responsibilities

Workday Expenses – Implementation & Support

  • Lead Workday Expenses implementations and management across the organization.
  • Manage module implementations for new legal entities.
  • Design and configure entity-specific expense policies, limits, and approval thresholds.
  • Build, configure, and maintain expense business processes and approval workflows in alignment with local and global policies.
  • Manage and update expense rate tables, conditional logic, and validation rules.
  • Integrate corporate credit card transactions into Workday, including technical setup, reconciliation, and monitoring.
  • Provide ongoing support and troubleshooting for end users and approvers.
  • Develop and maintain reports and dashboards to monitor expense compliance and key performance indicators (KPIs).
  • Collaborate closely with Finance and ERP teams on integrations by defining technical specifications, performing data mapping, and leading Unit Testing (UT) and User Acceptance Testing (UAT).
  • Continuously enhance the Workday Expenses module by adopting new Workday features and best practices.

Payroll Configuration, Integration & Support

  • Configure and maintain Workday Payroll components, including security roles, pay elements, and mappings.
  • Manage and support integrations with payroll providers such as ADP, Celergo, and other regional payroll systems.
  • Handle payroll-related interfaces including:
    • HCM data files
    • Absence files
    • Payslips and tax form delivery
  • Lead and support payroll troubleshooting efforts across multiple countries and systems.
  • Implement, test, and support Workday-to-payroll integrations, including:
    • Technical requirements gathering
    • Data mapping and configuration
    • End-to-end UAT coordination
  • Drive continuous improvement of payroll interfaces to ensure high data quality and reliability.
  • Manage payroll-related projects such as new entity onboarding and employee transfers.
  • Design and deliver payroll operational and compliance reports.

Workday Integrations & Business Processes

  • Lead implementation of Workday integrations with third-party vendors, including:
    • DocuSign
    • Reward Gateway
    • SmartRecruiters
    • Equifax
    • Other external suppliers
  • Define, implement, and enhance Workday business processes to meet evolving operational and compliance requirements.
  • Act as a bridge between functional and technical teams, translating business requirements into effective Workday solutions.
